Procedures For Leaders of Overseas Pallottine Groups
(Re: Passports, Visas, etc.)
- Nominate a responsible person to be be in charge of getting the visa on behalf of the group
- Contact the Embassy to get the applicable information regarding the visa cost, and how long it will take to process the visas
- Advise the group accordingly that everyone has to have their passport by a set date
- They will then advise that the group has to have their visa application forms completed CORRECTLY by a set date and given to the person along with the correct monies to apply for the visas on a bulk application
They MUST keep a record of the passports they are given and monies received. They MUST keep them in a SAFE Place
- Keep a record of the passports that go to the Embassy and the dates sent, and they record the passports as they get them back from the Consulates
- When they give the passports back to the individual owner they must get them signed out
It would be a good idea that a photocopy of the passports and visa be held by the organiser - for safety in case any passports are lost while they are travelling to WYD
If you need any further assistance please let me know. This is only a set of guidelines that I have used when working with groups and I have found it works well. This is by no means a written rule - it is only to give you some help with visas.
